And thank you, Claudia, for your good suggestions. This is a very good point that some presenters are from academic institutions that would understand the need for "conference fee refunding”…and such funding will help us continue…

Adam’s answer is also perfect, related to those who attend a conference but do not present - they “watch” the event…so “watching” and “presenting” are two different experiences…with Google Hangouts, the entire proceedings are videotaped…and the videos are free to watch on YouTube…and we do not have any control over that…but the presenters could possibly be asked to pay a fee if their academic institution can afford it…that would help us pay for the production of the Presentation Web Pages in support of the presenters, and also help us pay for the captioning and interpreting for each Presentation…all this would help the presenters do a better job and have an ongoing presence on the web.

Let me share with you some of the issues we faced -

Other conferences that take place in a physical location, where the conference has to pay for their use of facilities, and must also provide other services for the participants and must pay for use of the technical staff that is located at the physical location…such a conference must charge money or they could not hold the conference.

As you know, last year at this time, our non-profit organization, which is not affiliated with any other institution, considered holding such a conference here in La Jolla, California, and I contacted UCSD (University of California at San Diego) and other academic institutions close by, to see if we could arrange to use their facilities, and technically we could, but the costs and also the arrangements were so daunting, that we decided to try a Symposium online.

For our non-profit organization, providing the SW Symposium Online was an excellent choice, because Google Hangouts is completely free to use. We did not have to pay for the facilities. This could not have happened, however, without Adam and Steve’s technical knowhow - without their amazing support we could not have done it. So thank you very much, Adam and Steve, for making this possible.

One of the reasons we had 40 presentations…(so many more than expected)…is partly due to the free nature of the event. I know that many of our Brazilian presenters could not have flown to La Jolla, California to present, and we did not have the funds to pay their way, but we all could meet on Google Hangouts for free…so this changed the whole nature of the Symposium.

So I agree we could ask a fee from academics presenting - but nothing to do with the people who are watching - the watching has to be free because it is free on YouTube!

That is actually one of the features I love most about Google Hangouts, is that the entire proceedings are videotaped automatically and streamed live on YouTube…and Claudia and Fabrizio - your presentation 1 is getting a lot of views because you were the first to present - the number of viewers of the videos are going up - the Symposium videos have had over 1000 views - I realize that is not that much, from the big world’s perspective, but with captioning added and publicity to encourage new people to watch, it has a life of its own…and more and more viewers will watch over decades perhaps...

So I think any fees would have to be for the presenters only, not for the viewers…You are right, Adam, that that would not be possible nor would it be good to ask people on YouTube to pay to see the videos!

When we do another Call for Papers, for the next Symposium, we can explain that those who wish to submit a paper and presentation will need to pay a fee to pay for the captioning of their presentation, and for the interpreter for their presentation… If they cannot afford the fee, we will of course accept them anyway…and we will hope to get funding another way -
