Tactile interpreters for conference

Because the conference is at Gallaudet University we can explore a tactile interpreter. This will be out of my experience and is likely to add considerable cost. I will investigate.

I had a tour of the facility at Gallaudet University Kellogg Center yesterday. I should be getting a proposal from the director this week. The place is gorgeous and has top of the line AV equipment including the possibility of teleconference. Hoping we can have as many people participate as possible. I'm basing my figures on 75 participants.

Roughly:

Meal Plan - $150.00/person (includes breakfast, lunch, and snack for Friday, Saturday, and Sunday).

Food functions count against meeting room fees so this may help considerably.

Hotel Room - Roughly $160 - $180/night depending on the season, 70 room nights (30 per night/doubly occupancy).

Meeting rooms - Roughly $4800 for 6 rooms, which open up into two rooms for group sessions, may include (short term) a tiered room set aside for teleconferencing.

Interpreters - This will be the larger fee depending on our class size and schedule. Interpreters run approximately $50/interpreter, minimum 2 hours. If we are to run for 10 hours on Friday, 10 hours on Saturday, and 4 on Sunday, then that's 24 x 50 x 2 = $2400.00 and that is only if we had only one session of 3 or 4 simultaneous interpreted, including 2 interpreters for the time. (I'm counting $4800).

Transportation for Valerie Sutton from California - $350.00 and $600 housing, or equivalent teleconferencing fee.

Bottom line = $4800 (meeting rooms) + $4800 (interpreters) + $1000 (travel) + $7500 (meal plans) + $1260 (hotel rooms) = $10600 + $9760 = $20360 (the $7500 may reduce the meeting room cost considerably).

The cost per person comes out roughly $271.40 (based on 75 people, which considering that this covers hotel room and meals is not bad at all). I'm basing this on double occupancy in the hotel room (30 rooms per night). This is not counting any grants which would help reduce those costs or offsets for meals.

Charles
