Marsha suggested: "How about taking reference to gender(s) out of it
entirely? "If claimant's documents cannot be provided, claimant must
request duplicates." (or...."duplicates must be requested." This sort of
go-round nearly always worked when I was writing office procedures."
Thanks Marsha. Another of our "rules" here at my agency disallows passive
constructions J. Government agencies (in Texas anyway) have such a
historical over-use of passive voice that we have taken to trying to
overcome it. So, working under these two rules (one self-imposed, one
imposed by my employer) makes for some funny sounding stuff. Add to that
the fact that I try to write using E-prime (self-imposed again), and it can
become downright bizarre! But, hey, they pay me the big bucks for that,
right? (tongue in cheek).
